Privacy policy
SendMates (“we”, “our”, “us”) operates the SendMates Sales Dashboard application. This policy describes how we collect, use, and protect information when you use our internal dashboard and its integrations.
1. Information We Collect
When you connect your accounts to the dashboard, we may access:
Google Workspace: Email metadata (sender, recipient, subject, date), calendar events (title, time, attendees, attendance status), and Google Meet participation data. We access this via Google OAuth with your explicit consent.
Meta Ads: Read-only advertising performance data including campaign spend, impressions, clicks, and lead counts from ad accounts you grant access to.
Fathom: Call recordings, transcripts, and meeting metadata that you authorize via your Fathom API key.
GoHighLevel: Contact information, pipeline/opportunity data, calendar bookings, and conversation history from your CRM account.
Fanbasis: Transaction data, customer information, and subscription status.
2. How We Use Information
We use the collected information solely for:
Displaying sales performance metrics and KPIs on the dashboard
Analyzing call recordings to provide coaching insights
Tracking revenue, appointments, and deal progress
Generating performance reports for sales team management
3. Data Storage and Security
All data is stored on secured servers with encrypted database connections.
API keys and OAuth tokens are encrypted at rest using AES-256 encryption.
Access is restricted to authorized team members only.
We do not sell, share, or distribute your data to third parties.
4. Third-Party Services
We integrate with Google, Meta, Fathom, GoHighLevel, and Fanbasis APIs. Your use of these services is also governed by their respective privacy policies. We only request the minimum permissions necessary for dashboard functionality.
5. Data Retention
We retain data for as long as your account is active on the dashboard. When a team member is deactivated, their API credentials are immediately deleted. Historical performance data is retained for reporting purposes but can be deleted upon request.
6. Your Rights
You may at any time:
Revoke Google OAuth access from your Google Account settings
Request deletion of your data by contacting us
Remove your Fathom API key from the dashboard
7. Google API Services User Data Policy
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We only use Google user data for the purposes described in this policy and do not use it for serving advertisements.
